Sr. Project Manager, Media Operations

Role
You’re the architect behind a seamless, high-performing media operation. As Project Manager for Media Operations, you’ll be the driving force that builds processes and manages projects for a world class media team that puts out hundreds of assets a week: high-impact content that educates business owners around the world and fuels growth.
We’re not looking for someone who just tracks tasks—we need a strategic problem solver who sees inefficiencies before they become bottlenecks and builds solutions that make our teams faster, sharper, and more effective.
Your day-to-day will include managing production calendars, optimizing workflows, automating routine tasks, and ensuring every team has the right tools, resources, and visibility to execute at their highest level. You’ll own the processes, automations, and systems that keep everything from content production to data tracking running smoothly. You’ll collaborate closely with Team Leila, Team Alex, the Marketing Team, and the Acquisition.com Media Team, working alongside some of the brightest minds in media and operations.

Responsibilities
You will be responsible for the following:
Production Planning & Team Management
- Create and maintain a comprehensive production calendar for Alex, Leila, and the Acquisition.com media teams, ensuring clear naming conventions, deadlines, and conflict-free scheduling.
- Collaborate with Creative Directors and Managers to oversee post-production timelines, ensuring editors stay accountable for deadlines and publishing schedules.
- Oversee and coordinate with outside vendors when work is outsourced, ensuring smooth collaboration and on-time project delivery.
- Coordinate with other departments (ie Marketing or Executive Assistant teams) when communication with other stakeholders are needed
- Hiring and scaling a team of team members in your department, including Data Analysts and Media Operations Coordinators
Project & Task Management
- Own the organization and maintenance of Asana projects, ensuring projects are correctly structured assigned, categorized, and progressing efficiently.
- Conduct monthly audits of Asana and SOPs to ensure tasks are current and redundant projects are eliminated.
- Lead preparation of weekly and monthly reports and slide decks to run team meetings and monthly performance reviews.
- Standardize and consolidate SOPs to improve efficiency, alignment, and clarity across all media teams.
- Work closely with videography teams to submit and track vendor or equipment orders, ensuring documentation (receipts, memos) is properly recorded for finance.
Automation & Process Improvement
- Identify operational inefficiencies and implement automations to reduce manual tasks and improve workflow efficiency.
- Ensure editing review cycles, production timelines, and time-tracking systems for vendors are streamlined and well-documented.
- Establish systems to capture, store, and retrieve valuable insights from content takeaways for strategic use.
- Support data collection and analysis from weekly submissions by platform teams, summarizing insights to optimize media strategy.
File Management & Compliance
- Oversee file storage and accessibility, ensuring secure, compliant, and well-organized access for all media teams.
- Audit and clean up outdated SOPs, file structures, and Asana tasks to ensure all teams can focus on current priorities without unnecessary clutter.
Results
- Alex, Leila, and ACQ.com Media teams stay 1 week ahead at all times on publishing across platforms
- Individuals on the media team make consistent progress towards Departmental MITS (quarterly objectives)
- Production calendar maintained that is accurate, conflict-free, and utilized efficiently across teams.
- Consistent, updated onboarding documents and processes that set up new hires for success.
- Weekly and quarterly metrics reports are consolidated and distributed to team for strategic decision making
- Department has secure, compliant file access that protects sensitive information while streamlining team workflows.
- Consolidated SOPs that reduce complexity and improve team alignment.
- Insights from content takeaways are systematically stored and accessible for strategic planning.
- Media operations run smoothly, with minimized bottlenecks and clear accountability for tasks.
- Company leadership has visibility into media operations, hiring needs, team utilization, and compliance
Requirements
- To excel in this role, you will need 6+ years in project management in a media facing capacity
- 2+ years of experience leading teams or coordinating cross-functional collaboration.
- Proficiency in Asana. Familiarity with automation tools such as Zapier, Airtable, or equivalent. Building AI automations via code or no code is a plus.
- Skilled at leading a diverse team of creative professionals, project managers, and data analysts, ensuring accountability for meeting deadlines, delivering high-quality work, and upholding core values.
- Strong communication skills and able to manage individual contribute as well as leads
- Exceptional ability to manage multiple projects, prioritize tasks, and resolve scheduling conflicts.
- Proven experience leading teams or coordinating cross-functional collaboration.
- Strong critical thinking skills to identify bottlenecks and propose actionable solutions.
- A meticulous approach to file management, naming conventions, and maintaining compliant workflows.
- The ability to pivot in a fast-paced environment and adjust workflows as needed.
- Clear and concise written and verbal communication skills to collaborate with multiple stakeholders.

Compensation
- $160,000-$200,000/year + 15% bonus + benefits
- The salary range may be inclusive of several levels that would be applicable to the position. Final salary will be based on a number of factors including, level, relevant prior experience, skills, and expertise. This range is only inclusive of base salary, not benefits (more details below).
Relocation Assistance
- We know that great talent comes from all over, so we're here to help you make the move. For this role, we offer $10,000–$15,000 in relocation support, plus up to 3 months of temporary housing (capped at $10,000).
